Privacy policy

Recognizing that the appropriate handling and thorough protection of personal information is a social responsibility, on June 15, 2007 NEC TOPPAN CIRCUIT SOLUTIONS, INC. established its Personal Information Protection Policy and company regulations regarding the protection of personal information. Since then, while implementing company-wide measures for personal information protection, we have continually reviewed the policy and regulations in consideration of changes in the law and social conditions. Under this policy, based on "Principles concerning the handling of personal information at Toppan", we manage personal information received from customers or obtained by Toppan itself with the utmost care.
"Private data" is information that can be specifically recognized as private. It includes the following: name, address, post code, phone and fax numbers, e-mail address, URL information, date of birth, age, age group, gender, marital status, family structure, occupation, company name, position and title, industry name, environment used (such as PCs and PDA terminals), member ID, passwords, handles, and information relating to bank accounts and credit cards.

As a part of the information communication industry, we declare that in order to protect the rights of individuals, the protection of personal information is a vital management issue related to corporate social responsibility, and we implement it comprehensively throughout all the Company’s divisions and departments.
1. We hold great respect for the dignity of the individual and endeavor to protect the personal information handled by the Company in line with our internal rules, fully complying with laws, government guidelines and other regulations related to personal information, and with the principles of social order.
2. We are acutely aware of the risks that threaten the personal information handled by the Company, such as wrongful access, loss, damage, manipulation, and leakage, and shall take all necessary and reasonable safety measures. In the case of a problem arising, we shall rectify it quickly and appropriately.
3. We clearly specify the purpose of collecting personal information within the appropriate scope of our company’s business and we collect, use and provide personal information using all necessary, fair and appropriate methods in order to achieve such purpose.
4. We carefully manage personal information received from our clients in order to reassure our clients that their information is safe.
5. We have strengthened our internal company system in order to ensure the protection of personal information. We also operate the system effectively and make improvements when required.

Regulations regarding the Company’s handling of Personal Information
1. Abiding by the law and social order
In the event our company receives personal information from clients and is entrusted with performing business such as information processing or in the event our company collects personal information, our company will abide by all applicable laws, ordinances and regulations.
2. Managing personal information in a safe manner
Our company will strictly manage and protect personal information received from clients and personal information collected by our company. Our company will adopt reasonable safety measures based on our company’s regulations in order to protect personal information from loss, damage, unauthorized leaks, falsifications and unauthorized access, and our company will immediately address any problems that may occur.
3. Purpose of using personal information
In the event that our company is entrusted with personal information handling services from our clients or in the event our company collects personal information, we will use such information for the purposes set out below. In the event that personal information is used for any other purposes we will notify clients by sending information documents, e-mails, faxes, etc or by posting notification on each of our websites.
In the event our company collects personal information, such information will be used for the purpose of:
(1) answering inquires regarding business performed by our company.
(2) sending all types of requested documents regarding business performed by our company.
(3) conducting questionnaires and surveys by our company and reflecting the results in all services provided by our company.
(4) providing information relating to services and support conducted by our company.
In addition, in the event that the purpose of collecting personal information is changed, such change will be performed within a reasonable scope that is closely related to the purpose before the change was made. Furthermore, any changes will be notified to persons who the personal information relates.
4. Disclosing personal information
As a general rule, our company will not disclose client’s personal information to third parties except in the following circumstances. In the event that personal information is disclosed to third parties in circumstances other than the following, notification will be made through each of our websites, advertising leaflets, pamphlets, etc.
(1) When out-sourcing personal information processing activities, within the necessary scope of achieving the collection purpose, to business partners in a contractual relationship.
(2) When disclosing necessary information to related business partners in order to reply to enquiries from persons which such personal information relates.
(3) When disclosing necessary information to related business partners in order to send all types of documents requested by persons which such information relates.
(4) When disclosing necessary information to related business partners in order to provide explanations of services, support information and all other types of information.
(5) When disclosing personal information upon receiving an official request from a public institution such as a court of law or the police or in accordance with law.
(6) When disclosing personal information in unavoidable circumstances upon receiving a request from an institution in order to protect the subject of such personal information or the life, body or property of another person.
5. Alterations
From time to time, the regulations contained hereunder are subject to change based on changes made to the content of business and services performed by our company. All changes will be posted on our website.
6. Scope of applicability
The regulations contained hereunder shall apply the personal information handling services conducted by our company. These regulations shall not apply to personal information handling services conducted by other people or companies (websites owned by other people or companies linked to our website, etc).
7. Enquiries regarding personal information
In the event that our company receives a request from a person to alter, update or delete their own personal information that is handled by our company, we will respect their opinion and make any necessary response within a reasonable extent (However, please understand that this may not be possible if the alteration, update or deletion of personal information results in essential services performed by our company being rendered unable to be used).
Furthermore, we have established an enquiries office to respond to enquiries relating to personal information.
